This Privacy Policy explains how BrewCircle (“BrewCircle,” “we,” “us”) collects, uses, and shares information when you use our platform for homebrewing clubs. It also explains the different roles we and the clubs play regarding member data.
Our role, and your club’s role
BrewCircle runs the software; each club runs itself. For information a club collects about its own members (names, contact details, dues status, RSVPs, and the like), the club is the controller — it decides what to collect and why — and BrewCircle acts as its processor, handling that data on the club’s behalf to provide the service. For the information we collect to operate BrewCircle as a business (account and billing details, platform usage), BrewCircle is the controller. If you have questions about how a specific club uses your information, contact that club’s organizers.
Information we collect
- Account information — your name and email address, and for club owners, club details provided at signup.
- Profile and membership information — anything you or your club adds to your profile, such as display name, location, brewing credentials, membership tier, dues status, and event RSVPs.
- Content — logos, photos, posts, pages, competition entries, and scoresheets you upload.
- Payment information — when you pay dues, buy tickets, enter a competition, or subscribe to a plan, payment is processed by Stripe. We receive confirmation and limited transaction details (such as amount and status) but do not receive or store full card numbers.
- Technical and usage data — server logs, IP address, browser type, and actions taken, used to operate, secure, and improve the service.

How we use information
- To provide, maintain, and secure the service and your account;
- To sign you in (via emailed magic links) and keep you signed in;
- To process payments and platform subscriptions and to calculate our transaction fees;
- To send transactional email (sign-in links, confirmations, reminders) and — where a club has added you as a member — that club’s announcements, which you can unsubscribe from;
- To prevent abuse, enforce our Terms of Service, and comply with law.
How information is shared
We do not sell your personal information. We share it only as needed to run the service:
- Service providers we rely on to operate: Stripe (payments), Resend (email delivery), and our cloud hosting and file-storage providers (including Amazon Web Services). These providers process data on our behalf under their own terms.
- Within your club: your club’s organizers can see the member information associated with your membership. Other members see only what you choose to make visible (for example, opting into the public member directory).
- Legal and safety: when required by law, to enforce our Terms, or to protect rights, safety, and security.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
BrewCircle is multi-tenant: one club can never see another club’s member data.
Cookies
We use a small number of strictly necessary cookies to keep you signed in and to protect forms against cross-site request forgery. We do not use advertising or cross-site tracking cookies. Blocking essential cookies may prevent sign-in.
Data retention
We keep information for as long as your account or club is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. When a club or account is closed, we delete or de-identify associated data after a reasonable period, except where we must retain it (for example, transaction records for tax or accounting).
Security
We use reasonable technical and organizational measures to protect information, including encrypted connections, single-use sign-in links, and scoped access between clubs. No system is perfectly secure, so we cannot guarantee absolute security.
Your choices and rights
- Access and correction: update your profile at any time, or ask your club’s organizers to update membership details.
- Email preferences: unsubscribe from club announcements and the weekly digest from your profile or via the unsubscribe link in any such email. Transactional messages are part of the service.
- Deletion: request deletion of your account or member data by contacting your club or us. Some information may be retained as described above.
Depending on where you live, you may have additional rights (such as under the GDPR or CCPA) to access, correct, delete, or port your data, or to object to certain processing. To exercise these, contact us using the details below; for club-managed member data we may direct your request to the relevant club.
Children and age
BrewCircle is intended for adults involved in homebrewing clubs and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
International users
BrewCircle is operated from the United States, and information may be processed there and in other countries where our service providers operate. By using BrewCircle you understand your information may be transferred to and processed in the United States.
Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected in the “Last updated” date above and, where appropriate, communicated to you. Your continued use of BrewCircle after changes take effect constitutes acceptance.
